How Client Check-In Shapes First Impressions of Your Practice
By Alex Berthé-Suarez, LCSW-C, founder of Heerio
Think about how much attention we give to creating a good experience for our clients.
We spend time making our offices comfortable, designing our websites, answering inquiries, and helping new clients feel welcome.
But there's one part of that experience we sometimes overlook.
The first few minutes after a client walks through our door.
And I think those minutes deserve more attention.
Imagine you're a new client
You've never been to this office before.
You walk into the building, find the right suite, and open the door.
The waiting room is empty.
Now what?
Are you supposed to knock? Sit down? Call someone?
You don't want to interrupt a session, but you also don't want your therapist to think you haven't arrived.
It seems like a minor inconvenience, but it's one we can easily eliminate.
Professional doesn't have to mean expensive
When I think of a professional waiting room, I'm not necessarily imagining an elaborate front desk with a receptionist and expensive furniture.
I'm thinking of an environment that feels welcoming, intentional, and easy to navigate.
A comfortable place to sit.
Good lighting.
A sense of privacy.
Clear instructions about what to do when you arrive.
And, ideally, a simple way to let your provider know you're there.
None of this needs to cost very much.
Check-in can be part of the experience
This is one of the things I particularly like about Heerio.
A client walks into the office, sees a tablet or a QR code, checks in, and takes a seat.
The provider receives a notification and can respond with something like, "I'll be right with you."
There's no need for the client to wander down the hallway or wonder whether anyone knows they've arrived.
It's a small interaction, but one that can make the whole experience feel more polished.
And I think there's a real value in that.
The same principle applies beyond therapy
Whether you're running a therapy practice, chiropractic office, massage therapy studio, or another appointment-based business, the arrival experience matters.
People appreciate knowing what to do.
They appreciate not having to interrupt someone.
And I think most business owners would appreciate spending less time managing arrivals, too.
That's the balance I wanted with Heerio: a better client experience and a more convenient way for providers to manage their day.
No elaborate system. No unnecessary features.
Just an easy, professional way for clients to announce their arrival.
