How to Know When Your Next Client Arrives (Without Checking the Waiting Room)

By Alex Berthé-Suarez, LCSW-C, founder of Heerio

If you're a therapist in private practice, you probably know the routine.

You finish a session, return to your desk, write a few notes, check the clock, and then get up to see whether your next client has arrived.

Nobody there yet.

Back to your office.

A few minutes later, you check again.

Or maybe you've developed a sixth sense for hearing the waiting room door open. I certainly had.

It's a system that works well enough. But there's a much easier way.

Why are we still doing this?

When I started thinking about building Heerio, I wasn't looking to reinvent how therapists run their practices.

I wanted to solve something that had bothered me for years: Why couldn't my clients simply announce their arrival without me having to stop what I was doing?

I looked at the alternatives. Some practices use signal lights. Others rely on receptionists, text messages, or just keeping an ear out for the front door.

Each has its place. But I wanted something simple, affordable, and easy for practically any office to use.

A client checks in. Their provider gets notified. That's it.

A better way to handle arrivals

With a digital check-in system, clients can announce their arrival using a QR code, an app, or a tablet in the waiting room.

You receive a notification, whether you're at your desk, in the kitchen getting coffee, or wrapping up another task.

You can even send a quick response to let them know you'll be right with them.

No walking down the hallway. No guessing whether someone has arrived. No unnecessary interruption.

Those minutes are worth more than you think

Suppose you spend five minutes each day checking whether clients have arrived.

Across 240 working days, that's 20 hours a year.

Make it ten minutes a day, and you're up to 40 hours.

For a therapist whose professional time is worth $200 an hour, we're talking about $4,000 to $8,000 in annual time value.

That doesn't necessarily mean you collect an additional $8,000. But those are hours you could spend finishing documentation, returning inquiries, or attending to the many other responsibilities of running a practice.

And honestly, sometimes the greatest benefit is simply being able to enjoy the break between appointments.

Meet Heerio

I created Heerio because I wanted a check-in system that was simple, attractive, and affordable.

Clients check in using a QR code, the Heerio for Clients app, or a waiting-room tablet. You're notified on your phone or through the provider dashboard.

All three check-in methods are included, with unlimited providers per location.

Plans start at $4.99 a month for the first six months, and there's a 30-day free trial.

If you're still getting up to check the waiting room, give it a try.
