How to Run a Practice Without a Receptionist
By Alex Berthé-Suarez, LCSW-C, founder of Heerio
You can have a beautiful office, comfortable furniture, a great website, and a successful private practice without having someone sitting behind a front desk.
In fact, many independent therapists and small group practices operate exactly that way.
And there's nothing wrong with it.
The challenge is making sure clients still have an easy, professional experience when they arrive.
Because while you may not need a receptionist, your clients still need to know what to do when they walk through the door.
Think about the experience from the client's perspective
Imagine walking into a new therapy office.
The waiting room is empty. There's no one at the front desk. No sign explaining what to do.
Do you knock on a door?
Do you sit down and hope someone knows you're there?
Do you send your therapist a text?
It's a small moment of uncertainty, but one that's easy to avoid.
A well-run office should make the next step obvious.
Start with clear instructions
You don't need an elaborate reception area.
Sometimes a simple sign is enough:
Welcome! Please check in and have a seat. Your provider will be with you shortly.
Of course, that raises an important question.
How do clients check in?
Some practices use a sign-in sheet. Others rely on clients texting their provider or waiting to be greeted.
Personally, I've never loved the idea of repeatedly checking the waiting room or requiring clients to announce their arrival through my personal phone.
I wanted something easier.
Let clients check themselves in
This is where a dedicated check-in system can make a meaningful difference.
With Heerio, clients have three choices.
They can scan a QR code, use the Heerio for Clients app, or check in on a tablet in your waiting room.
Their provider receives a notification and can send a quick response.
It's a simple process, but I think it makes a practice feel more organized and professional.
And it gives clinicians one less thing to worry about between sessions.
You can keep your overhead low without looking inexpensive
There's a difference between running a lean practice and giving clients a bare-bones experience.
You don't need an expensive reception desk, a large administrative staff, or an elaborate collection of software subscriptions to make your office feel well run.
You need the right systems for the size of your practice.
If phone calls are overwhelming, consider an answering service.
If scheduling is a headache, use a good scheduling platform.
If you keep getting up to see whether your clients have arrived, use a simple check-in system.
That's why I created Heerio.
It's a relatively inexpensive way to add an extra touch of professionalism while saving valuable time.
And if your practice grows, Heerio includes unlimited providers per location, so you're not paying separately for every clinician who joins the team.
